Privacy Policy
Last updated: October 27, 2026.
This Privacy Policy explains how FilWeb Asia Inc. (“FilWeb Asia,” “we,” “us”) collects, uses, shares and protects personal information when you visit www.filwebasia.com, contact us, apply for a job with us, or work with us as a client.
We handle personal information in line with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (NPC). If other privacy laws apply to you, such as the EU or UK General Data Protection Regulation, we also respect the rights they give you.
Who we are
FilWeb Asia Inc. is the personal information controller for the information described in this policy. Our office is at FilWeb Asia Building, San Pedro City, Laguna, Philippines. Our Data Protection Officer (DPO) can be reached at privacy@filwebasia.com.
Information we collect
When you visit our website
- Device and usage information: IP address, browser and device type, screen size, pages viewed, the page that referred you, and ad campaign tags in the link you followed (UTM parameters)
- A random visitor ID stored in your browser, so we can count visits and connect them to an inquiry you send later
- Interaction data recorded by Microsoft Clarity, such as clicks, scrolling and mouse movement. Clarity masks the text you type into forms.
When you contact us
- Your name, work email and message, plus your company, country or region, and the service you’re interested in if you provide them
- The page you sent the form from, your IP address and visitor ID, which we use to block spam and abuse and to see which pages lead to inquiries
- Anything you include when you email or call us
When you apply for a job
- Your resume and the information in it, your contact details, the role you applied for, and anything else you send us, such as portfolio links or voice recordings
- Notes from screening and interviews, and the results of any assessments
Please don’t include sensitive personal information, such as government ID numbers, health information, religion or marital status, in your application unless we ask for it. If you are hired, we collect the information employment requires under a separate employee privacy notice.
When you are a client
- Names and contact details of your representatives, billing details, contracts and correspondence. We do not store credit card numbers.
How we use your information
- To respond to inquiries, send proposals and provide our services
- To review job applications and contact applicants
- To run, secure and improve our website, including blocking spam and abuse
- To measure website traffic and the results of our marketing, including ad campaigns
- To send business updates or marketing email to clients and to people who agreed to receive them. Every message has an unsubscribe link.
- To meet legal, tax and regulatory obligations, and to establish or defend legal claims
Legal basis for processing
We process personal information based on your consent (for example, when you submit a form, send an application or sign up for email), to take steps toward or perform a contract with you, to comply with legal obligations, and for our legitimate interests in running and protecting our business where your rights do not override them. You can withdraw consent at any time. This does not affect processing that already took place.
Cookies and similar technologies
Our website uses cookies and browser storage for these purposes:
- Essential: security and spam protection from Cloudflare, including the Cloudflare Turnstile check on our forms, and keeping you signed in where sign-in applies
- Analytics: Google Analytics and Microsoft Clarity, which show us how visitors use the site
- Advertising: when we run ad campaigns, we may use the Meta Pixel and the LinkedIn Insight Tag to measure the results of ads on Facebook, Instagram and LinkedIn
You can block or delete cookies in your browser settings, opt out of Google Analytics with Google’s browser add-on at tools.google.com/dlpage/gaoptout, and manage ad preferences in your Facebook and LinkedIn account settings. Blocking essential cookies may stop our forms from working.
Who we share information with
We do not sell your personal information. We share it only as needed with:
- Service providers that run our website and business systems, such as our web hosting provider, Cloudflare, Google, Microsoft and email delivery services
- Advertising platforms such as Meta and LinkedIn, when their tags are active, which receive website activity data as described above
- AI service providers such as OpenAI, Anthropic and Google, used in some of our internal tools. We limit any personal information they process to what the task requires, and we do not make hiring decisions by automated means alone.
- Professional advisers, such as lawyers, accountants and auditors
- Government authorities, when the law requires it
- A buyer or successor, if all or part of our business is reorganized, merged or sold
Our service providers may use your information only to provide services to us and must protect it under written agreements.
International transfers
Some of our service providers store or process data outside the Philippines, including in the United States. When we transfer personal information, we take steps to keep it protected as the Data Privacy Act requires.
Data we handle for our clients
As an outsourcing provider, we handle personal information on behalf of our clients, such as patient or customer records for a U.S. healthcare provider. For that information, the client decides how it is used, and our handling is governed by our contract with the client and the laws that apply to it, such as the U.S. Health Insurance Portability and Accountability Act (HIPAA) under a business associate agreement. This policy covers the information we collect for our own purposes. Please direct questions about those records to the client first.
How long we keep information
- Inquiries: up to three years after our last contact, unless you become a client
- Job applications: up to one year after the hiring decision, so we can consider you for other openings, unless you ask us to delete them sooner. If you are hired, your application becomes part of your employee file.
- Client records: for the length of the contract and afterward for as long as tax, accounting and legal rules require
- Website analytics: according to the retention settings of each analytics service
When we no longer need information, we delete it or make it anonymous.
How we protect your information
We use organizational, physical and technical safeguards, including encrypted (HTTPS) connections, access limited to staff who need it, sign-in controls, spam and abuse protection, and secure storage of paper records at our office. No method of storing or sending data is completely secure, so we review our safeguards regularly.
Data breaches
If a breach involving personal information is likely to put you at real risk of serious harm, we will notify the National Privacy Commission and the people affected within 72 hours of learning about it, as NPC rules require. We will explain what happened and what you can do to protect yourself.
Your rights
Under the Data Privacy Act, you have the right to:
- Be informed whether and how we process your personal information
- Access your personal information
- Object to processing, including for direct marketing
- Have inaccurate or incomplete information corrected
- Have your information blocked, removed or destroyed when it is no longer needed, was obtained unlawfully, or you withdraw consent, subject to legal retention requirements
- Get a copy of your information in a portable electronic format
- Claim damages for harm caused by inaccurate, incomplete, outdated, false, unlawfully obtained or unauthorized use of your information
- File a complaint with the National Privacy Commission at privacy.gov.ph
To use any of these rights, email our DPO at privacy@filwebasia.com. We may ask you to confirm your identity first, and we aim to respond within 30 days.
Children
Our website and services are meant for businesses and job seekers aged 18 or older. We do not knowingly collect personal information from children. If you believe a child has sent us information, contact us and we will delete it.
Changes to this policy
We may update this policy as our services, tools or legal requirements change. We will post the updated version on this page with a new “Last updated” date, and we will notify clients directly about significant changes.
